Who we are
SmartWMS is operated by Powersoft Computer Solutions Ltd, Powersoft Tower, Leoforos Larnakos 39-41, 1046 Nicosia, Cyprus. We are the data controller for information you give us through this website, and a data processor for the warehouse data we handle on behalf of our customers.
What data we collect
From website visitors: the details you type into our contact or demo-request form, name, company, email, phone, warehouse size and your message. From customers using the service: account details (name, email, role), usage records (which actions were performed and when), and the warehouse operational data you process in the system, such as products, stock levels, lots and orders.
Why we use it
To reply to your enquiry and arrange a demo; to provide, support and secure the SmartWMS service; to meet our contractual and legal obligations; and to improve the product. We do not use your data to build advertising profiles.
Legal basis (GDPR)
Consent for demo and contact enquiries, which you may withdraw at any time. Performance of a contract for delivering the service to customers. Legitimate interest for securing our systems, preventing abuse and improving the product. Legal obligation where we are required to retain records.
Where your data is stored, and for how long
Contact-form data is stored within the European Economic Area and kept for up to 24 months from your last contact with us, unless you become a customer. Customer service data is retained for the duration of the subscription and for a defined period afterwards as set out in the order form, after which it is deleted or returned.
On-premise AI
Where a customer uses the on-premise AI appliance, the operational data used for forecasting, placement suggestions and anomaly detection is processed on hardware located on the customer’s own premises. That data is not sent to us or to any third-party AI provider.
Your rights
You can ask us for a copy of your data, correct it, delete it, restrict or object to its processing, or receive it in a portable format. You can also withdraw consent at any time. If you are unhappy with how we handle your data, you may complain to the Office of the Commissioner for Personal Data Protection in Cyprus, or to your local supervisory authority.
Security
Access to customer data is restricted by role, protected by authentication and logged. Data is encrypted in transit. Destructive actions in the product require password confirmation and are recorded in an audit trail.
Children
SmartWMS is a business product. It is not directed at children and we do not knowingly collect data from anyone under 16.

Changes to this policy
We may update this policy as the service changes. The date at the top of this page shows when it was last revised. Material changes will be communicated to customers directly.
